Improving Portfolio Visibility Across a Leading NHS Trust

The Challenge

A large NHS Trust was looking to modernise its project and portfolio management approach to support a growing portfolio of strategic and operational initiatives.

Project information was being managed across multiple spreadsheets, emails and locally maintained tracking tools, making it difficult to gain a consistent view of project performance, risks, resource demand and delivery progress. Stakeholders required greater visibility across the portfolio, whilst the PMO needed a more structured and scalable approach to governance and reporting.

The Trust's key objectives included:

  • Improving portfolio visibility and reporting
  • Standardising project management processes
  • Strengthening governance and oversight
  • Reducing manual administration and reporting effort
  • Leveraging existing Microsoft 365 investments
  • Providing leadership teams with real-time project insights

The Solution

QDC worked closely with stakeholders across the organisation to deploy Q PPM, a Microsoft-native Project Portfolio Management solution built on Microsoft Power Platform and Microsoft Planner.

The solution was configured to support:

  • Project request and approval processes
  • Portfolio and programme management
  • RAID (Risks, Issues, Actions and Decisions) management
  • Executive and PMO reporting
  • Governance controls and lifecycle management
  • Power BI dashboards and reporting
  • Microsoft 365 integration

Because Q PPM is deployed entirely within the customer's Microsoft 365 environment, the Trust maintained full ownership of its data whilst benefiting from existing security, compliance and governance policies.

The Outcome

Following deployment, the Trust established a centralised Project Portfolio Management platform, providing a single source of truth for project delivery and governance.

The PMO gained improved visibility across projects, programmes and portfolios, whilst leadership teams were able to access real-time reporting and portfolio health information through interactive Power BI dashboards.

Key benefits included:

  • Improved project governance and consistency
  • Enhanced portfolio visibility and reporting
  • Reduced reliance on spreadsheets and manual processes
  • Streamlined project intake and approval workflows
  • Greater executive insight and decision-making capability
  • A scalable platform to support future PMO maturity

The Impact

By implementing Q PPM, the Trust successfully transitioned from fragmented project management processes to a modern, integrated Project Portfolio Management solution built on technologies already familiar to the organisation.

The platform now provides a foundation for ongoing PMO development, enabling the organisation to improve project delivery, strengthen governance and maximise the value of its Microsoft 365 investment.
